ABOUT THE POSITION
We are currently looking for one (1) Coordinator, Apprenticeship Advisor for a permanent, full-time role.
The Apprenticeship Advisors Coordinator provides operational, administrative, and systems support to SkilledTradesBC’s provincial Apprenticeship Advisors. The role coordinates team administration, training, onboarding, communications, resources, requests, and case assignments; maintains team knowledge and support materials; and supports reporting, data quality, and continuous improvement initiatives. The Coordinator works closely with managers, team leads, and internal departments to support consistent, high-quality service throughout the province.
Occasional travel is required for this position
RESPONSIBILITIES/ACCOUNTABILITIES
Team Administration
Coordinates administrative activities, resources and team events.
Maintains team calendars, contact lists, folders, documents, templates, maps and team information on iConnect and other shared systems.
Maintains an organized central electronic filing system, applies consistent file-naming practices, archives outdated materials and ensures current templates, forms and records are easy to locate.
Maintains team calendars and shared resources, and coordinates with other departments on vacation coverage, case routing, shadowing requests and service issues. Tracks administrative deadlines, reporting dates, training dates, renewals and follow-up commitments. Develops shared tracking and inventory systems to monitor status, ownership, reminders, supplies and distribution needs.
Coordinates team materials, supplies, expenses, travel (flights & accommodations) and event logistics, including ordering, shipping, distribution, meeting invitations, schedules, agendas, meeting minutes, attendance and supporting documents.
Works with Team Leads to develop and monitor ongoing training for advisor team.
Support tasks such as verifying and validating monthly Diners and travel expense reports.
Provides training and feedback to Apprenticeship Advisors during onboarding, as well as developing training resources to help ensure reports are submitted accurately and consistently.
Records meetings when authorized, prepares and distributes concise meeting minutes and summaries of decisions, updates and action items, and maintains action-item logs by recording owners and due dates, tracking in system, following up on outstanding items, and updating completion status for Managers and Team Leads.
Coordinates new-hire onboarding using the approved checklist; works with IT, Human Resources, Facilities and other departments; arranges system access, equipment, training, introductions, meeting invitations and travel;
Provides statistics and reports to Managers, including trends, concerns and recommendations for further investigation, and pulls specialized D365 reports for Apprenticeship Advisors as needed.
Supports team communications and participates in special projects proposed by the Coordinator or assigned by the Advisor Leadership Team. Special projects may include outreach related to specific trades, outstanding Recommendations for Certification, or work-based training hours. The Coordinator would provide administrative support by developing clear communication guides and step-by-step resources to help Apprenticeship Advisors complete these projects consistently and effectively.
Assists in the rollout of new initiatives, technology, and program/project enhancements.
Administrative Support
Coordinates team workflows, cases, resources and service support.
Manages the queue by monitoring, reviewing, evaluating and dispatching incoming emails and D365 cases; monitors websites, systems and workflows; compiles feedback; reports issues; and identifies inconsistencies, knowledge gaps and interdepartmental barriers.
Receives, tracks and distributes third-exam rewrite requests to the next available Apprenticeship Advisor; maintains the manual queue and accurate records of requests, assignments and outcomes; and applies priority case tags as required.
Completes file merges; reports D365 issues to IT, including duplicate records and required removals; and responds to routine apprentice portal support requests, including password resets and general navigation assistance.
Responds to and actions routine requests such as missing technical training, document assessments and contact information updates.
Supports Apprenticeship Advisors with complex cases by liaising with internal departments to research, verify and validate information needed to respond to advisor inquiries.
Responds to inquiries from SkilledTradesBC staff, stakeholders, apprentices and sponsors by providing information about Apprenticeship Advisor activities and by dispatching cases to advisors appropriately.
Reports on and monitors issues with digital systems by collaborating with the Team Leads.
Maintains Apprenticeship Advisor Knowledge Central content and completes a weekly policy review to confirm that policies, procedures and related guidance remain current, clear and accurate.
Refreshes presentation cards, job aids, training materials and other team resources when information or processes change.
Provides guidance and support to Apprenticeship Advisors on policies, procedures and best practices.
Performs quality assurance on cases, including service types, details, case descriptions and documentation consistency.
Monitors service level agreements, flow of work, and case statistics to identify opportunities for improvements.
Works with Managers, Team Leads and the Advisor Leadership Team to improve team operations, service quality and processes.
Ensures compliance with STBC policies and procedures.
EDUCATION/EXPERIENCE
High school diploma or equivalent is required.
A certificate, diploma, or post-secondary education in Business Administration or a related field is preferred; an equivalent combination of education and experience will be considered.
Strong coordination, organization, and prioritization skills, with the ability to manage competing deadlines and detailed administrative work.
Clear written and verbal communication skills, with the ability to work effectively with internal departments, external partners, and a geographically distributed team.
Previous experience supporting a field team is desirable.
Knowledge of SkilledTradesBC processes and procedures is an asset.
Advanced proficiency with Microsoft 365 applications, SharePoint, and OneDrive.
Ability to learn and use CRM, case-management, and internal knowledge systems.
Ability to maintain accurate records, trackers, shared files, reports, and quality assurance information.
Prior experience setting up administrative systems and/or managing complex administrative systems is an asset.
Knowledge of CRM or similar systems used for tracking metrics, managing cases, and producing reports is an asset.
Ability to design, interpret, and present statistical information in a clear, concise, and effective manner.
COMPENSATION
Salary Band C: $67,057 - $90,725
