Summary
The Division of Information Technology Services (ITS) is seeking a highly experienced and detail-oriented professional to join the ITS Project Management Office (PMO) as a Data & Reporting Analyst. This role owns PMO data management, data quality, data governance, and reporting activities across the PMO's portfolio of programs and projects. The Data & Reporting Analyst will analyze and comprehend data from multiple systems, distilling it into clear, meaningful insights and real outcomes that facilitate decision-making for the PMO and ITS leadership.
This role works closely with ITS Portfolio Managers and the Deputy CIO/AVP for PMO to define reporting needs, maintain a trusted single source of truth for PMO data, and elevate executive-level messaging through data. The Data & Reporting Analyst is responsible for monitoring data quality, analyzing reporting outputs to identify trends, anomalies, missing information, duplicate records, and inconsistent classifications, and partnering with Project Managers to drive timely data correction and remediation. The role also builds connectors and integrations across ServiceNow, Microsoft Power Platform, Smartsheet, and Jira to streamline reporting.
The role validates reporting outputs and ensures executive reports and dashboards are accurate, complete, consistent, reliable, and presentation-ready before distribution to leadership. The analyst will translate findings into actionable recommendations for data cleanup, reporting improvements, and leadership decision-making.
The ideal candidate is a seasoned data and reporting professional who is equally comfortable in building executive dashboards, analyzing report results, and troubleshooting a data quality issue at the record level. Experience in higher education or a similarly complex, matrixed environment is a plus.

Data Governance and Data Quality Management- This is the core of the role. The analyst owns PMO data standards, definitions, and taxonomies, and spots anomalies, duplicates, missing data, and inconsistent classifications. They also do root-cause analysis and work with PMs to get records corrected in ServiceNow.
Reporting, Dashboards, and System Integration- The role requires expert-level skill in ServiceNow (including PPM), Power BI, Smartsheet, and Jira, plus Power Platform (Power Query, Power Automate, Power Apps). The analyst also builds connectors and APIs between these systems to automate and consolidate reporting. This technical integration skill is the one that most sets the role apart.
Executive Reporting and Data Storytelling- The analyst turns complex, disparate data into clear insights, scorecards, and recommendations for the Deputy CIO/AVP for PMO and ITS leadership. They also validate reports before distribution, so they are accurate and presentation ready.
Stakeholder Collaboration and Enablement - The analyst is the main liaison between Portfolio Managers, PMs, and PMO leadership on data matters. This includes gathering requirements, training teams on data entry standards, and influencing data cleanup without direct authority.
Education
Bachelor's degree in data Analytics, Information Systems, Computer Science, Business Administration, or related field; master's degree preferred.
Relevant certifications preferred (e.g., data management, business analysis, Power BI or Power Platform, Agile/PMP, AI or Six Sigma).
Experience
5+ years of progressive experience in data management, reporting, analytics, and data governance, ideally supporting a PMO, IT organization, or similarly matrixed environment.
Demonstrated experience building and maintaining reports and dashboards in ServiceNow, Power BI, Smartsheet, and Jira.
Proven experience building connectors, integrations, or APIs between systems such as ServiceNow, Power BI, Smartsheet, and Jira to enable consolidated reporting.
Demonstrated experience analyzing reporting outputs to identify trends, anomalies, missing data, duplicate records, inconsistent classifications, and other data quality concerns.
Experience delivering executive-level reporting, analysis, and actionable recommendations that support leadership decision-making.
Experience partnering with Project and Portfolio Managers to identify root causes, recommend data cleanup, and drive corrective action.
Experience in higher education or a large, complex institutional environment is a plus.
PMO Data, Reporting & Governance Knowledge and Skills
Expert-level proficiency with ServiceNow (including reporting and PPM modules), Power BI, Smartsheet, and Jira.
Proficiency with Microsoft Power Platform tools, including Power Query, Power Automate, and Power Apps, to support data transformation, validation, automation, and reporting processes.
Strong knowledge of data governance principles, data stewardship, data profiling, data cleansing, data quality frameworks, metadata management, and data standards.
Ability to design and build integrations, connectors, or APIs between reporting and PMO systems to automate data flow and validation.
Advanced proficiency with Excel and PowerPoint for data analysis, modeling, and executive presentation.
Strong analytical and problem-solving skills, including root-cause analysis of reporting discrepancies and development of sustainable remediation recommendations.
Ability to assess data integrity, completeness, consistency, and reliability and communicate data limitations or risks affecting reported metrics.
Ability to comprehend and interpret complex, disparate data sets and translate findings into clear insights, exception reports, and actionable recommendations.
Excellent verbal and written communication skills, with proven experience presenting findings and recommendations to senior and executive leadership.
Demonstrated ability to build relationships and collaborate across Portfolio Managers, Project Managers, PMO leadership, and technical teams.
Self-motivated, detail-oriented, and capable of managing multiple reporting priorities independently in a fast-paced environment.
Knowledge and application of AI tools to support and accelerate data analysis, reporting, quality assurance, and governance activities is a plus.
Familiarity with current and emerging data and analytics tools and how other enterprises and higher education institutions employ them.
Key Responsibilities & Accountabilities
1. Data Governance & Quality Management -- 30%
Establish, document, and maintain PMO data governance standards, definitions, and data quality rules across ServiceNow, Power BI, Smartsheet, and Jira.
Monitor data quality metrics and proactively identify inconsistencies, gaps, or errors in project and portfolio data.
Partner directly with Project Managers to research root causes of data issues in ServiceNow and drive timely correction and remediation.
Define and maintain data entry standards, taxonomies, and governance controls to ensure consistency across the PMO's systems of record.
Establish validation processes to ensure data is accurate, complete, and reporting-ready before publication.
2. Reporting & Dashboard Development -- 30%
Design, build, and maintain recurring and ad hoc reports and dashboards in Power BI, ServiceNow, and Smartsheet reflecting portfolio health, project status, resourcing, and financials.
Build and maintain integrations, connectors, and/or APIs between ServiceNow, Power BI, Smartsheet, Jira, and other PMO systems to enable consolidated, automated reporting.
Automate recurring reporting processes to reduce manual effort and improve turnaround time and accuracy.
Continuously enhance reporting templates, visualizations, and data models to reflect evolving PMO and business needs.
3. Executive & Leadership Reporting -- 20%
Comprehend and interpret complex portfolio and project data to identify meaningful patterns, trends, and outcomes that matter to the PMO and ITS leadership.
Translate that understanding into clear, concise insights and narratives that support decision-making by ITS leadership, the Deputy CIO, and the AVP for PMO.
Prepare executive-level scorecards, presentations, and briefing materials that highlight trends, risks, dependencies, and outcomes.
Review executive-facing reports and dashboards for data integrity, completeness, consistency, and presentation readiness; identify required corrections and coordinate resolution before distribution.
4. Stakeholder Collaboration & Data Enablement -- 15%
Serve as the primary liaison between the PMO, ITS Portfolio Managers, and the Deputy CIO/AVP for PMO on all data, reporting, and governance matters.
Partner with Portfolio Managers to gather reporting requirements, clarify data definitions, and train team members on data entry and quality standards.
Act as a subject-matter expert on PMO data and reporting tools, supporting onboarding and ongoing enablement across the team.
5. Continuous Improvement & Emerging Tools -- 5%
Evaluate and recommend new tools, automation techniques, and AI-enabled capabilities to improve reporting efficiency, data quality, and governance maturity.
Monitor recurring reporting issues and recommend process improvements, preventive controls, or system enhancements.
Stay current on industry best practices in PMO analytics, data governance, and reporting for higher education and IT organizations.
Financial Measures
This role does not carry direct budget ownership but supports the PMO's financial discipline by ensuring project and portfolio financial data across systems is accurate, validated, and reliably reported to ITS leadership to inform investment and resourcing decisions. The role identifies financial reporting discrepancies and recommends corrections before leadership reporting.
